Terms and Conditions

Version: 4 September 2026

English version

These terms form the general legal framework for all Kalah Amsterdam services. Service-specific details and expressly different arrangements are provided before booking on the booking page, in the quotation, order confirmation or service schedule. An expressly agreed special term takes precedence. Mandatory statutory rights always remain applicable.

1. Identity and scope

Kalah Amsterdam is a trade name of Stenhuijs Training en Coaching, registered at Elstarstraat 65, 1036 LH Amsterdam, the Netherlands, under Dutch Chamber of Commerce number 85963798. The visiting and training address is Chasséstraat 59, 1057 JA Amsterdam. Contact: team@kalah-amsterdam.nl and +31 6 27095746.

These terms apply to offers, bookings, registrations and agreements for trial classes, one-off training, weekly training, personal training, session packages, courses, programmes, seminars, events and group, school or corporate training.

2. Formation, information and evidence

An agreement is formed when the customer completes a booking or registration and Kalah Amsterdam confirms it, or when a quotation or assignment is accepted in writing.

The applicable terms, price, service, duration and cancellation rules are made electronically available before conclusion in a form that can be stored. The confirmation identifies or links to the applicable version. Silence or attendance alone does not constitute acceptance of onerous terms.

3. Services and admission

Kalah Amsterdam determines the content, progression, intensity and safety arrangements for each service. Age, payment or earlier participation does not create an automatic right of admission.

Kalah Amsterdam may refuse, adapt, restrict or end participation where reasonably necessary because of concrete safety, behavioural or suitability factors. Where appropriate, a trial, reduced intensity, individual support or another reasonable adjustment will first be considered. If admission is refused before the service starts, any prepayment for undelivered services is refunded, except for proven costs that may lawfully and contractually remain payable by the customer.

4. Age and minors

The minimum age for the regular weekly Monday training is 16. A participant under 16 may join this Monday training only after prior consultation and with the express approval of Kalah Amsterdam.

Outside the regular Monday training, Kalah Amsterdam may offer training sessions and programmes to participants under 16. These are specifically adapted to age, development, target group and safety needs, for example a private programme for a school or organisation.

For every participant under 18, a parent or legal guardian must complete the registration or provide demonstrable consent. Participation by the minor must be voluntary and the minor may stop any exercise.

5. Health and safe participation

The participant provides only functional information reasonably necessary for safe participation, such as a relevant injury, limitation or required stop or break. Kalah Amsterdam does not request more medical information than necessary and does not diagnose.

The participant stops and alerts the instructor in case of pain, disorientation, panic, injury or another unsafe feeling. Where medical suitability is uncertain, the participant obtains appropriate professional advice. Health data is processed only where both a valid legal basis and an applicable exception for special-category data exist, as further described in the privacy policy. Where explicit consent is used, it is requested separately, specifically, voluntarily and demonstrably and may be withdrawn.

6. Nature and normal risks

Self-defence training includes physical exertion, controlled contact and sometimes progressively introduced stress exposure. Bruising, muscle soreness and occasional minor sprains may occur despite due care.

The participant accepts only these normal risks after they have been explained understandably in advance. This does not reduce Kalah Amsterdam’s duty of care regarding instruction, progression, supervision, partner matching, equipment and venue checks.

7. Conduct, instructions and exclusion

Participants follow safety instructions, respect stop signals and personal boundaries and do not use techniques against others outside the exercise context.

Kalah Amsterdam may immediately stop an exercise or participation in case of acute danger, violence, threats, sexual harassment or serious recklessness. In other cases, a warning and opportunity to respond are given where reasonable. Future undelivered services are settled proportionately, except for proven loss or costs for which the customer is legally liable.

8. Prices, invoicing and payment

The total price, payment frequency and any additional charges are clearly disclosed before the agreement is concluded via the booking page, registration form, quotation, order confirmation or other service-specific information that can be stored electronically. The price agreed in that way forms part of the agreement. Invoicing and direct debit may be administered through Moneybird and a payment or direct-debit provider.

A separate invoice is payable within fourteen calendar days of its date, unless an earlier due date was clearly agreed before booking or in a quotation. A service starting sooner must be paid before it begins. Recurring membership fees are collected in advance, on or around the first day of the relevant month.

Following a failed direct debit, Kalah Amsterdam first notifies the customer and allows payment without a fixed administration or failed-payment fee. If payment is not made, a consumer receives a cost-free payment reminder allowing the statutory period of fourteen days, calculated from the day after receipt. Statutory interest and extrajudicial collection costs may become payable only after that period expires without payment.

Kalah Amsterdam may suspend participation after that period while a due and not reasonably disputed amount remains unpaid. Participation resumes once the full amount due has been received. Termination for prolonged non-payment occurs only after an additional written warning and a reasonable final period to remedy the default.

Kalah Amsterdam does not charge a fixed administration or failed-payment fee. Proven costs are passed on only where legally permitted, clearly agreed in advance and reasonably caused by the customer.

A credit issued by Kalah Amsterdam is valid for twelve months from issue, personal and not redeemable for cash, except where the law or these terms provide a right to a refund. Transfer requires Kalah Amsterdam’s written consent.

9. Regular weekly training

Membership is for an indefinite period. The membership fee, payment frequency and any registration fee applicable at the start are disclosed before the agreement is concluded in accordance with Article 8.

Membership starts on the agreed first training date. The first membership fee is calculated pro rata from that date. Any agreed registration fee and the first membership fee must be paid upon registration and before the first regular training session.

Membership may be terminated at any time through the online cancellation form on the Kalah Amsterdam website or by email to team@kalah-amsterdam.nl. Both methods are equivalent. A form submission is received upon successful transmission; an email is received once it has demonstrably been delivered to that mailbox. Kalah Amsterdam sends an acknowledgement immediately or as soon as practicable and subsequently confirms the final end date by email. A technical failure, an unanswered exit question or refusal of consent to follow-up contact must not block or delay termination.

The notice period is one calendar month from receipt. Notice received on 1 March ends membership on 1 April; receipt on 15 March results in 15 April. If the corresponding date does not exist in the final month, membership ends on that month’s last day, for example 30 April following receipt on 31 March.

Fees prepaid for the period after the end date are settled pro rata or refunded within fourteen calendar days after the amount is established, using the original payment method where practicable. Kalah Amsterdam may set off a due and not reasonably disputed claim.

A change to the recurring membership fee applies only to future periods and is communicated to the participant at least one month in advance, stating the new rate and the effective date. The participant may terminate without charge before the effective date. A change in legally imposed taxes may be passed on separately where clearly communicated.

Planned holiday closures are announced in advance and reflected in the monthly fee; they do not create a separate refund entitlement. For unexpected cancellations, Kalah Amsterdam offers a reasonably equivalent replacement, credit or proportionate refund where reasonable.

Suspension is not an automatic right. In case of long-term injury, illness, pregnancy or another compelling circumstance, Kalah Amsterdam may agree in writing to a suspension of up to three months. It is not retroactive. Only necessary functional information is requested.

10. Trial classes and one-off training

The price of a trial class or one-off training session is disclosed before booking in accordance with Article 8.

A trial class may be rescheduled without charge until 24 hours beforehand. In case of later cancellation or a no-show, the booking expires. The rate applicable at that time may be charged for a subsequent booking, provided that rate is clearly disclosed before that subsequent booking is concluded.

Late arrival does not entitle the participant to an extension. Kalah Amsterdam may refuse late entry where joining without a briefing or warm-up would be unsafe; this does not automatically entitle the participant to a refund.

11. Personal training and session packages

The price of personal training and session packages is disclosed before booking in accordance with Article 8. A package is valid for two years from purchase.

An appointment may be rescheduled or cancelled without charge until 24 hours beforehand. In case of later cancellation or a no-show, the full session may be charged. Kalah Amsterdam may reasonably make an exception in a substantiated emergency.

Late arrival does not extend the original time slot. If Kalah Amsterdam reschedules, it offers a replacement; if this is not reasonably possible, the customer chooses credit or a refund for the undelivered session.

Unused package hours are not normally refundable. In case of death, permanent medical inability or a comparable exceptional circumstance, Kalah Amsterdam may reasonably allow an extension, transfer or partial refund. For a partial refund, hours already used are valued at the rate applicable at purchase to the number of hours actually used.

12. Courses and programmes

The price, dates, duration, number of sessions and any specific terms are stated in advance. A session missed by the participant does not automatically create a refund entitlement. Where practical, Kalah Amsterdam may allow a make-up session with another group, credit or a suitable substitute participant.

If Kalah Amsterdam does not deliver a component, it offers a reasonable alternative. If that is not possible, credit or a proportionate refund is provided for the undelivered part.

13. Seminars and events

Unless the booking provides more favourable terms, consumer cancellation is calculated from the stated start time as follows: at least 14 times 24 hours beforehand, a full refund, potentially reduced by external costs that were disclosed in advance, proven, non-refundable and legally deductible; at least 7 times 24 hours but fewer than 14 times 24 hours beforehand, a 50% refund; fewer than 7 times 24 hours beforehand, no refund.

The participant may transfer the place without charge to a suitable substitute, provided Kalah Amsterdam is informed in advance and the substitute meets the participation conditions.

If Kalah Amsterdam cancels, the customer chooses a suitable alternative or a full refund for the undelivered part. In case of a material change of date or venue, the customer may reject the alternative and request a refund. No transaction costs are deducted in these cases.

14. Group, school and corporate training

The quotation or order confirmation states the target group, content, duration, venue, price, travel and material costs, participant numbers and additional safety arrangements. The invoice is paid in full before delivery unless otherwise agreed in writing.

Unless the quotation is more favourable, client cancellation is calculated from the stated start time as follows: at least 30 times 24 hours beforehand, no charge except agreed external costs already incurred; at least 14 times 24 hours but fewer than 30 times 24 hours beforehand, 50%; at least 7 times 24 hours but fewer than 14 times 24 hours beforehand, 75%; fewer than 7 times 24 hours beforehand, 100% of the agreed price.

The client provides accurate participant information, ensures a suitable and safe venue where supplied by the client and arranges authorised supervisors where agreed. Kalah Amsterdam remains responsible for professional instruction and its own safety failures.

15. Changes, cancellations and non-performance by Kalah Amsterdam

Kalah Amsterdam may occasionally change the instructor, time, venue or content where reasonably necessary and the service remains substantially equivalent. In case of a structural or material change, a consumer may terminate without charge from the change date and receives a refund for the prepaid undelivered part within fourteen calendar days, using the original payment method where practicable.

Insufficient enrolment, ordinary illness or usual venue problems do not automatically constitute force majeure. Kalah Amsterdam first investigates reasonable replacement or rescheduling.

16. Force majeure

Force majeure is an event outside a party’s reasonable control that makes performance temporarily or permanently impossible. The parties first discuss rescheduling or a reasonable alternative.

In case of prolonged impossibility, either party may terminate the affected part. Prepayment for definitively undelivered services is refunded pro rata unless mandatory law requires a different outcome.

17. Right of withdrawal for distance contracts

Where a consumer has a statutory right of withdrawal, the period is fourteen days after conclusion. Kalah Amsterdam provides the legally required information and model form.

Performance during the withdrawal period begins only following a separate, demonstrable and express request by the consumer. Upon withdrawal after partial performance, only a proportionate amount legally permitted for services already delivered may be payable. The right of withdrawal lapses after full performance only where all statutory requirements have been met.

A statutory exception may apply to a leisure service on a specific date or within a specific period. It is applied only where it actually covers the booked service; the mere fact that training follows a timetable is not automatically sufficient.

18. Liability and personal belongings

Kalah Amsterdam is liable where loss is legally attributable to a breach of contract or unlawful act. Liability is not excluded for careless instruction, inadequate supervision, defective equipment, ignored stop signals or any other case in which exclusion is not legally permitted.

Where the participant contributed through carelessness or failure to follow reasonable safety instructions, damages may be apportioned under applicable law.

Participants keep valuables with them or use available storage. Kalah Amsterdam is not responsible for loss, theft or damage in the absence of a breach attributable to Kalah Amsterdam. This does not apply in case of express custody, defective security or other blameworthy conduct.

19. Privacy, health data and images

Personal data is processed under the current privacy policy: https://www.kalah-amsterdam.nl/privacy-policy/. Health and incident information is access-restricted and retained no longer than necessary.

Consent for identifiable publication of photographs or videos is separate, specific, voluntary and withdrawable. Refusal does not affect participation. For a minor, consent is requested from the parent or legal guardian. Participation or acceptance of these terms is not consent to marketing images or newsletters.

20. Complaints

Complaints may be sent to team@kalah-amsterdam.nl. Kalah Amsterdam acknowledges receipt within five working days and responds substantively within fourteen days, or explains why more time is needed. This does not restrict access to the competent court.

21. Applicable law, validity and language

Dutch law applies without depriving consumers of mandatory protection available under applicable law.

If any provision is wholly or partly invalid or unenforceable, the remainder continues in force. A replacement does not automatically operate to the consumer’s disadvantage.

The Dutch text and English translation are substantively equivalent. In the event of a difference in interpretation, the Dutch text prevails to the extent permitted by law.
